Office of the Bursar

For New Students

Checklist

1. FERPA
The Family Education Rights and Privacy Act (FERPA) is a federal law that controls the release of academic, financial, and disciplinary information for college students. >> Learn about FERPA
When to do this: As the student, you get to decide if and when you're going to add someone to an online FERPA Proxy. Once you decide to do this, it's better to do it sooner rather than later. The Proxy is not mandatory and there is no deadline in which to complete it. However, without your completed Proxy (and/or Authorized Users) on file, no information regarding your student account will be shared with anyone. While you're at it, see #3 below called CASHNet Payer.

2. Payment Plan
Xavier students (ABSN students are not eligible to participate in the payment plan.) have the option to enroll in a payment plan or to pay their balance in full. >> Learn more on the Payment Plans website.
When to do this: After you review the first statement of the semester. The first statement for the Fall semester is published July 1st. The first statement for the Spring semester is published December 1st, and the first statement for the Summer semester is published May 1st.

3. CASHNet Payers (formerly "Authorized Users")
CASHNet Payers have the ability to view and pay your bursar bill online. >> Learn about CASHNet Payers.

When to do this: As the student, you get to decide if and when you're going to add someone as a CASHNet Payer.

4. Health Insurance: Student Health Insurance Required
All full-time, traditional, undergraduate students and all international students are required to have health insurance and are automatically enrolled. You must take action to waive the Xavier student health insurance. If you waive it, the reversal (credit) will appear on your bursar account within 7-10 business days. Both the charge and credit, if applicable, will be reflected on the statement that's published once a month. >> Learn more about Student Health Insurance.
When to do this: As soon as possible once the waiver website becomes available. For the '20-'21 school year, the website will open June 25, 2020 and close on September 18, 2020.

5. Tuition Insurance
All students will automatically be charged for tuition insurance in the Fall semester (Spring semester if they do not attend in Fall). If the student doesn't want or need this coverage, the student or parent must take action to waive it each semester by visiting www.tuitionprotection.com/xavier. The deadline to waive this tuition insurance is midnight Eastern Time on the Sunday after the semester has started. This insurance is administered by A.W.G. Dewar and provides coverage for tuition and mandatory fees paid to the University at 85% of covered costs. Room and Board are not covered. Refunds may be affected by financial aid award adjustments. This plan significantly extends and enhances the University's existing tuition refund/credit policy. Take time to fully consider this insurance option as there will be no exceptions for refund or credit of tuition and fees if the student has to withdraw during the semester for a covered medical reason and doesn't have insurance coverage through this option. For more information, contact A.W.G. Dewar at 617-774-1555.
When to do this: As soon as possible once the waiver website becomes available. For the '20-'21 school year, the website will open June 29, 2020 and close on September 3, 2020.

6. Outside Scholarships
If you are receiving an outside scholarship then you must make sure the funds are properly directed to your bursar account. >> Learn about where to direct outside scholarships.
When to do this: As soon as possible after physically receiving the scholarship check.

7. Monthly Statement
Xavier does not produce and mail paper statements. You (and any CASHNet Payer) will receive an email notifying you that your statement is ready to be viewed. The due date is the 21st of each month. >> Learn more about monthly statements
When to do this: After you receive the email notifying you that your statement is ready, view your statement and make any necessary payment on or before the due date.

8. Refunds
It is common for many Xavier students to have a credit balance (overpayment) on their bursar account at the beginning of the semester due to the disbursement of financial aid funds. Xavier University has partnered with BankMobile to deliver your financial aid refund. For more information about BankMobile, visit this link: http://bankmobiledisbursements.com/refundchoices/. >> Learn more about refunds
When to do this: The first week of August.
