After reviewing several vendor proposals and performing an assessment of two finalist video platforms through 2023 we are pleased to announce that Xavier will be transitioning from VidGrid to Panopto starting in Spring of 2024, and completing the transition by July 2024.

Content will be migrated based on expected ongoing use, full details can be found below under Weeding.

Panopto focuses on easily creating short videos from your computer or mobile device and sharing them, either inside or outside Canvas.

With Panopto you can record, edit, caption, and share your video content inside a single app.

Faculty, staff, and current students will be able to use Panopto free of charge on your personal device.

Panopto Availability & Key Dates

Week of March 11th

Panopto will be enabled for faculty to use when creating course content and assignments, and for Staff who need to create content that will be used beyond Summer 2024.
Please note this will turn on a Panopto course navigation menu link in all current courses in Canvas, which can be disabled by following these instructions from Canvas: How do I manage Course Navigation links? > Hide Navigation Links

  Faculty:  Disable the Panopto course navigation menu link in Canvas in current courses if desired. Current and early summer courses: Review content in VidGrid that will be used before the end of June and ensure it will not be weeded on March 25th. Explore Panopto if you have a need to create new content prior to Fall semester. Review training materials. Decide if you need to attend live training or receive additional support.

Canvas shells are loaded for Summer courses.


  Faculty:  Begin creating content for summer courses using your course shell.

 

March 25th

  • Employees will no longer be able to record or upload new content into VidGrid, including content created via Zoom.

  • Existing VidGrid content and student assignments will function as usual.

  • Weeding will be applied to VidGrid content, but weeded content will be recoverable until July. Restoring weeded content may take 2 or more business days, and will depend on the number of requests and the order your request is received.

  • Content will begin migrating from VidGrid to Panopto.

  Faculty & Staff:  Review current courses and webpages for any content that no longer works. If you find an issue, request assistance to have the content restored before July. Create or upload any new content directly into Panopto.

 

April 2024

Training will be offered to support replacing VidGrid content with Panopto content. Dates and format will be announced at a later date.

 

Mid-May to June 2024

Approximate window that content converted from VidGrid to Panopto will begin to be available. You may only see some of your content, more details will be announced to update campus on the status of conversion, as well as when it is complete.

  Faculty:  Begin replacing VidGrid links and embeds with Panopto, add quizzes back onto migrated videos, set up video assignments using Panopto

  Staff:  Begin replacing VidGrid links and embeds with Panopto

 

May & June 2024

Weeded content and Canvas courses with converted video should be reviewed by faculty. Courses should be updated by faculty with new links or embeds to the content in Panopto as it becomes available. This will be easiest to do while VidGrid content is still available to confirm all content is available and functioning as expected.

  Faculty & Staff:  Complete your review of current courses and webpages looking for any content that no longer works. If you find an issue with a VidGrid link or embed that doesn’t function, request assistance to have the content restored before July 2024. Replace functional VidGrid links, embeds, quizzes, and assignments with Panopto ones. 

 

July 2024

VidGrid video content, quizzes, and assignments will stop functioning. It may not be possible to restore or locate content after this date.

Updated Student Support will be available in Canvas Commons to import into your course and customize for Fall

  Faculty:  Finished reviewing and replacing all VidGrid content in current courses or courses that will be taught again with a Panopto link, embed, quiz, or assignment.

  Staff: Finished reviewing and replacing all VidGrid content on webpages, training materials, or elsewhere with a Panopto link or embed.

Self-paced Canvas Course - We encourage you to register as a student in this Canvas course so you will continue to receive important news and updates. You can request to be added as a student via email.

 

You faculty member may have customized instructions in Canvas, check in Canvas or with your faculty member first. If that is unavailable you can refer to Panopto - General Student Support.

PsyD Students

Refer to the custom instructions in the PsyD Canvas Course. If you do not have access to the course confirm that you have requested access using this ticket.

edTPA Students

WEEDING CONTENT

In an effort to reduce the time and cost of converting content to a new video platform, Xavier is working toward reducing unused and unneeded video content currently stored in VidGrid. This content may include recorded classes or other meetings, Zoom recordings with no views, and outdated materials that have been replaced or refreshed.

 

Criteria

If a video met at least one of the criteria below it will not be transitioned to Panopto, and was disabled in VidGrid when weeding was applied March 25th.

  • Any content with no changes or views since 2021
  • Any content with 5 or fewer views over it’s lifetime
  • Any content over 1000 seconds long (around 16.6 minutes)
    • This will include campus events, longer guest speakers, or other content you wish to keep.
  • Content that students have submitted via a Canvas assignment can be restored for courses with an Incomplete or other Canvas access/extension needs by submitting the Other Canvas Issues ticket as usual.

 

  • Any content with 0 views since it was converted to VidGrid
  • Any content with no updates or views since 2021

 

  • Any content with 0 views since it was imported into VidGrid
  • Any content over 1000 seconds long (around 16.6 minutes)
    • This will include recorded meetings, training sessions, or other content you may wish to keep.

 

 

Weeding Restoration - Faculty

This video will provide guidance on what information is needed and how to obtain it so we can assist with restoring content that was weeded and needs to be restored. Here we will look inside Canvas content from the faculty perspective.

If you have a large number of videos to restore we can provide ax Excel list of what was weeded from your account on March 25th 2024 on request. Please contact Paul Weber if this would be useful
