GSC Posting Policies
The following policy provides guidelines associated with posting flyers, banners, digital signage, artwork, table tents, and A-frames or sandwich boards in and immediately outside of the GSC facility. All other applicable Xavier policies apply.
General Posting Policies- All university policies in the policy library supersede policies listed within this document; please read over all policies as they will be enforced.
- Posting and digital signage must promote an event or program. No general announcements or advertisements will be allowed.
- Only recognized student organizations, University Departments, and GSC tenants may post within or outside the Gallagher Student Center.
- Content may not contain any references, either direct or indirect, to alcohol, profanity, or anything else that violates the Student Handbook.
- Content may not support or critique a particular candidate for public office, political party, or ballot issue. For additional questions about this, please see the Office of Student Involvement’s Student Lobbying, Political, and Campaign Activities Policy.
- The GSC does not allow any decorations that may permanently alter the facility. Examples of this include, but are not limited to, tape, staples, glue, nails, or hooks to secure materials to walls, windows, ceilings, columns, doors, doorframes, staging, curtains, or other surfaces.
- The GSC is not responsible for any posted items that are torn down, damaged, or defaced.
- The GSC reserves the right to remove and discard any posted or submitted items at any time without notice.
- Any posted item that has not been approved or is located outside of the designated areas will be taken down and discarded.
- Advertisements written in chalk are not permitted.
- Any student organization, University Department, and/or GSC tenant who fails to follow the posting policies may lose the privilege of promotion within and outside of the Gallagher Student Center for a minimum of one (1) semester.
Art Gallery Usage
- The GSC has two (2) art galleries that can be reserved and used to display artwork in the second and third floor atriums.
- All art gallery usage requests should be submitted at least ten (10) business days prior to the start of the usage of this space. Failure to give proper notice may result in the art not being displayed.
- All artwork that will be displayed within the specific art gallery must use a suspension system; artwork cannot be displayed by damaging any part of the Gallagher Student Center through use of items such as, but not limited to: tape, staples, nails, glue, pushpins, or hooks.
- The GSC does not provide materials in which to hang artwork within the building.
Digital Signage
- The GSC operates a singular digital signage location near the first-floor entrance.
- All digital signage requests must be approved by the GSC Staff. The approval process includes, but is not limited to, the following provisions:
- Requests must be submitted a minimum of five (5) business days in advance. Failure to give proper time to post may result in the posting not being displayed.
- All requests must be submitted online with the Digital Signage Form
- Digital signs must contain the following information:
- Name of the sponsoring club, organization, or department
- Contact information (email, social media, etc.)
- Time, date, and location details for the event being promoted
- Digital signs will remain posted for two (2) weeks, or the day after the date of the event being advertised.
- The GSC staff will not design or edit submissions for use on our digital signage.
- The GSC staff does not save submissions or files after the signage has been removed.
Flag or Banner Display
- The GSC has the capabilities of hanging a large flag or banner that helps promote visibility for a variety of programmatic and celebration days throughout the year.
- The flag or banner space is only reservable in conjunction with a specific event request and needs to be noted as part of the reservation of 25Live.
- All flag display requests must be approved by the GSC. The approval process includes, but is not limited to, the following provisions:
- The flag must be submitted a minimum of five (5) business days in advance. Failure to give proper time to post may result in the flag not being displayed.
- The flag needs to have grommets on both ends that allow for a secure suspension of the material within the facility.
- The flag must be representative of the event that this request is in conjunction with.
- The flag will be hung for a total of three (3) days;
- The flag will be put up near the end of the day the day before the event,
- The flag will hang the entire day of the event,
- And the flag will be taken down at the start of the day the day after the event.
Flyer Posting
- The GSC operates two bulletin boards for use. These are the only designated areas permitted for flyer posting in the facility.
- All flyers must be approved by the GSC Staff. The approval process includes, but is not limited to, the following provisions:
- Two (2) copies of the flyer must be submitted at the GSC Welcome Desk
- Flyers must contain the following information
- Name of the sponsoring club, organization, or department
- Contact information (email, social media, etc.)
- Time, date, and location details for the event being promoted
- Flyers may not be larger than 11.5 inches by 8 inches
- Flyers will be posted within two (2) business days of being submitted and remain posted for two (2) weeks, or the day after the date of the event being advertised.
Indoor Banner Posting
- The GSC provides space around the first-floor atrium for displaying banners that promote a program or event. In the event of overflow, the GSC may place banners around the second-floor atrium and the handrail on the staircase between the first floor and the lower level.
- Banner space will be assigned on a first-come, first-served basis.
- All banner requests must be approved by the GSC Staff. The approval process includes, but is not limited to, the following provisions:
- Requests must be submitted a minimum of five (5) business days in advance. Failure to give proper time to post may result in the banner not being displayed.
- Banners must contain the following information:
- Name of the sponsoring club, organization, or department
- Contact information (email, social media, etc.)
- Time, date, and location details for the event being promoted
- Banners cannot extend beyond the floor line. Banners should not be larger than 40 inches high and 78 inches wide.
- Banners will remain posted for two (2) weeks, or the day after the date of the event being advertised. Banners will be discarded after their posted time. If the organization, department, or GSC tenant would like to have their banner returned, they should request it at the time of submission.
Outdoor Banner Space Posting
- There are two exterior banner hanging locations under the GSC Clock Tower.
- Banner space will be assigned on a first-come, first-served basis.
- All banner requests must be approved by the GSC Staff. The approval process includes, but is not limited to, the following provisions:
- Requests must be submitted a minimum of five (5) business days in advance. Failure to give proper time to post may result in the banner not being displayed.
- Outdoor banner space must be reserved through 25Live before the submission for approval.
- All banners must be hung by the Office of the Physical Plant through a request from the GSC.
- Banners must contain the following information:
- Name of the sponsoring club, organization, or department
- Contact information (email, social media, etc.)
- Time, date, and location details for the event being promoted
- Banners cannot extend beyond the path of egress or disrupt the flow in/out of the facility. Banners should not be larger than 48 inches high and 78 inches wide.
- Banners will remain posted for two (2) weeks, or the day after the date of the event being advertised. Banners will be discarded after their posted time. If the organization, department, or GSC tenant would like to have their banner returned, they should request it at the time of submission.
- A-frame or sandwich boards are permitted directly outside of the GSC in those spaces managed by the facility. These spaces include the lower-level entrance, outdoor tabling space, patio, and amphitheater.
- A-frames or sandwich boards cannot disrupt the path of egress in and out of the facility or along any paved paths.
- The GSC does not provide A-frames or sandwich boards.
- If signs are placed beyond GSC outdoor spaces, see the Outdoor Event Space Policy and Outdoor Posting Policy.
- All posting must be approved by the GSC Staff. The approval process includes, but is not limited to, the following provisions:
- Requests must be submitted a minimum of five (5) business days in advance.
- Banners must contain the following information:
- Name of the sponsoring club, organization, or department
- Contact information (email, social media, etc.)
- Time, date, and location details for the event being promoted
- To ensure that egress isn’t compromised, the sandwich board should not be larger than 45 inches tall and 25 inches wide.
- The group using the sign to advertise is responsible for placing the sign and removing the sign after the advertising is done. It is recommended that groups with signs for multiple days bring it in and out each day.
Table Tent Flyers
- The GSC has fifteen (15) table tents that can be used throughout the building.
- Table tent space will be assigned on a first-come, first-served basis.
- All table tent signs must be approved by the GSC staff. The approval process includes, but is not limited to, the following provisions:
- Fifteen (15) copies of the flyer must be submitted at the GSC Welcome Desk
- Flyers must contain the following information
- Name of the sponsoring club, organization, or department
- Contact information (email, social media, etc.)
- Time, date, and location details for the event being promoted
- Flyers may not be larger than four (4) inches wide and six (6) inches tall. Table tent flyers submitted in the wrong format will be denied.
- Table tent flyers will be posted within two (2) business days of being submitted and remain posted for two (2) weeks, or the day after the date of the event being advertised.
