Workday Student Project Timeline

The Workday Student implementation is being completed through a phased approach, allowing the project team to configure, test, validate, and prepare each functional area before go-live. 

Please note that all dates provided are preliminary and subject to change as the implementation progresses and additional project planning details are finalized.

Where We Are Today

The project is currently focused on configuring Workday Student, validating business processes, conducting testing, and preparing the Xavier community through communications, training, and organizational change management activities.

Throughout the implementation, the project team is actively participating in:

  • Customer Confirmation sessions
  • Data validation
  • End-to-end testing
  • Change management activities
  • Training development

Deployment Milestones – Move to Production (MTP)

MTP 1– Focus on New Fall 2027 Students (Sept-Oct 2026)

The first major transition point establishes the foundational functionality needed to support:

  • Admissions
  • Financial Aid
  • Building the Fall 2027 schedule of classes

During MTP1:

  • Limited Workday access will be available to designated staff.
  • Students will not yet have access to Workday Student.

MTP 2– Focus on Continuing Student (Feb-Mar 2027)

MTP2 expands Workday Student capabilities to support continuing students and prepares the university for Fall 2027 enrollment activities.

Activities include:

  • Advising
  • Registration
  • Financial Aid Packaging
  • Student Financial Billing

During MTP2:

  • Workday Student access will be available to all students, faculty, and staff.

Functionality Live in Workday

Workday Student functionality will be introduced in phases, allowing Xavier to establish foundational processes first and expand functionality as we prepare for full implementation.

Functionality Phase 1 – Foundational Setup (Oct 2026)

Initial functionality focuses on establishing the foundation needed to support new student activities, including:

  • Academic units and levels
  • Academic calendars
  • Educational institutions
  • Slate integration
  • ISIRs
  • Verification, awarding, and packaging for new students

Functionality Phase 2 – Academic Preparation (Dec – Jan 2027)

Functionality expands to support academic planning and scheduling activities, including:

  • Course catalog
  • Class schedule

Functionality Phase 3 – Student Enrollment and Advising (March 2027)

Functionality supporting continuing student activities includes:

  • Registration and advising
  • Student consortium processes
  • Verification, awarding, and packaging for continuing students
  • Fee calculations, sponsors, and waivers

Functional Phase 4 – Student Financial Processes (April 2027)

Additional financial functionality becomes available, including:

  • Collections
  • Refunds
  • Late fees
  • Return to Title IV

Functional Phase 5 – End-of-Term and Academic Records (July-Aug 2027)

Final functionality supports ongoing student lifecycle activities, including:

  • Student financial balances – Fall
  • Grading
  • Degree conferral
  • Transcript generation
  • End-of-term processing
  • 1098-T processing

Fall 2027 – Go Live

Workday Student will become Xavier University's system of record for student information, supporting processes including admissions, registration, advising, curriculum management, financial aid, student accounts, grading, and academic records.
