Workday Student Project: Preparing for the Next Phase
The Workday Student project continues to make significant progress as Xavier University moves toward the planned Fall 2027 implementation. Over the past several months, project teams from across the University have been working closely with our implementation partner, Avaap, to review business processes, validate data, and configure the system to support the student lifecycle from recruitment through graduation.
Data Validation Underway
One of the most important activities currently taking place is data validation. Functional experts from across campus are reviewing information converted from Banner into Workday to ensure that student, course, curriculum, and academic records are accurate and complete. This work helps identify discrepancies early and ensures the data that supports our students and academic operations will be reliable when Workday Student goes live.
Data validation is a critical milestone in the project and requires collaboration from many offices, including the Registrar, Admissions, Financial Aid, Student Financial Services, Academic Affairs, and Information Technologies.
Preparing for End-to-End Testing
The project team is also preparing for End-to-End (E2E) Testing, which will take place later this summer. During this testing phase, representatives from key functional areas will work together to execute real-world scenarios in Workday Student.
Examples of these scenarios include student admissions, registration, financial aid processing, billing, academic progress tracking, and reporting. The purpose of End-to-End Testing is to confirm that business processes function as expected across departments and to identify any configuration adjustments needed before future project milestones.
This collaborative testing effort will help ensure that Workday Student supports the interconnected processes that serve our students every day.
New Workday Student Website Coming Soon
To help the Xavier community stay informed, the project team is developing a dedicated Workday Student website that will serve as a central source of information throughout the implementation.
The site will provide:
- Project updates and milestone information
- Frequently asked questions
- Timeline and implementation details
- Training and support resources
- Opportunities to participate in testing and feedback activities
- Information about how Workday Student will impact students, faculty, and staff
As the project progresses, the website will become the primary location for campus communications related to Workday Student.
What This Means for the Xavier Community
While Workday Platform (Human Resources, Payroll, and Finance) successfully launched in January 2026, Workday Student represents the next phase of Xavier's enterprise transformation. The new system will modernize the student experience and provide a unified platform that connects academic, financial, and administrative processes.
Over the coming year, faculty, staff, and students will begin hearing more about Workday Student, including opportunities to participate in demonstrations, testing activities, training sessions, and feedback opportunities.
