Microsoft Teams

In response to the recent notable price surge of Zoom, the Information Technology (IT) department has been directed by the Xavier University Council (XUC) to explore the feasibility of adopting Microsoft Teams as an alternative solution. Microsoft Teams boasts a proven track record of successful implementation across various educational institutions, and Xavier University already possesses the requisite licenses for its utilization.

In November 2023, faculty and staff actively participated in a survey concerning Zoom and their perspectives regarding the proposed transition to Teams. The insights gleaned facilitated a comprehensive evaluation of the potential implications for Xavier University, encompassing both classroom and office technological landscapes:

  • Platform Specifics: Zoom currently demonstrates stability irrespective of the number of attendees, a trait highly valued by our institution. Moreover, Zoom enjoys international renown and credibility, benchmarks that Teams must strive to meet.

  • Functionality: The new platform must align with Zoom's existing features and seamlessly operate within Microsoft or Mac environments. Noteworthy requirements include screen sharing, recording, captioning, transcriptions, integration with other systems (such as VidGrid, Panopto, and Canvas), annotations, diverse meeting setups, and facilitation of interactions with internal and external users across various global regions.

  • Change Management: Zoom has become an integral component of our academic and administrative interactions, making the transition to Teams potentially disruptive. Recognizing this, robust support mechanisms encompassing resources, training, and assistance will be crucial to ensure a smooth transition and mitigate any associated stress or tension.

Following a meticulous examination of the aforementioned considerations, it was determined that Teams aligns with Zoom in terms of functionality, capabilities, security, and reliability. The decision to transition from Zoom to Teams was endorsed by the Provost and informed by consultations with the Deans.

The transition to Teams will necessitate adjustments within both classroom and office environments. Be assured that the project team acknowledges the significance of this change and is committed to providing transparent communication and unwavering support to the entire Xavier community throughout the transition process.
