Guest-Visitor Guidelines

Definition of Guests / Visitors: Xavier is a large community of many individuals and groups who make us who we are. For the purpose of these guidelines, a guest / visitor may be considered any non-student or non-employee. Our intention is not to exclude key community contributors. Rather, our goal is to delineate any special circumstances or relationships in our list of Guidelines for Specific Types of Guests / Visitors.

These guidelines do not extend to Cintas Center or Athletics.

General Guidelines

  • Guests / visitors may be permitted on campus if they follow Xavier’s social distancing guidelines:
    • Guests / visitors must wear a mask, and
    • Guests / visitors must maintain 6-feet social distancing
  • Guests / visitors should have a host individual or unit who is responsible for explaining Xavier’s social distancing and mask guidelines
  • Host individuals / units are encouraged to explore virtual options for guests / visitors
  • Host individuals / units should attempt to reduce or limit guests / visitors
  • External rentals / space use will not be allowed (excluding Cintas Center); exemptions may be requested through the COVID-19 Task Force
    • Allows for Xavier to prioritize use of limited space for students and employees
    • Allows for Xavier to minimize number of guests / visitors on campus

Guidelines for Specific Types of Guests / Visitors

  • Guests of students in on-campus housing
    • Students in on-campus housing may be permitted to have guests in their residences under the following circumstances:
      • Residential students will only have card access to the building to which they are assigned. Any time they enter a residence hall that is not their own, they are considered to be a guest and must comply with all regulations.
      • All guests must be hosted by a resident of the space at all times. The resident must meet the guest at the front door of the residence hall and escort the guest throughout the residential space. The guest must be with the host at all times.
      • All guests must wear a protective mask at all times. Since guests are not part of the “household” of the room (i.e. residents of the space), all guests must wear masks both in common spaces and in actual rooms.
      • No overnight guests of any kind are permitted for any residential student.
      • If a guest has recently been exposed to someone who has tested positive for COVID-19 or if the guest has symptoms, they are not permitted to be a guest in the residence halls.
      • No groups are able to book spaces in residence halls. This is both to limit the exposure to residents and to give residents alternative spaces to study or engage in online learning outside of their rooms.
      • The rights of, and courtesy toward, the roommate(s) will always supersede the right of a resident to have a guest.
      • Residential students may not host more than the following number of guests at one time. Residents found in violation of these numbers can and will be charged with conduct violations and be sanctioned accordingly.
        • Brockman: 1 guest at a time
        • Buenger: 2 guests at a time
        • Husman: 2 guests at a time
        • Kuhlman: 2 guests at a time
        • Fenwick: 2 guests at a time
        • Apartments: 2 guests at a time
  • Guest speakers, lecturers, entertainers, performers, etc.
    • May be permitted if they follow Xavier social distancing and mask guidelines
    • Use virtual engagement options where possible
  • Guest ministers, advisors, coaches, volunteers
    • May be permitted if they follow Xavier social distancing and mask guidelines and participate in “volunteer-guest minister” training
    • Use virtual engagement options where possible
  • Vendors / Contractors / Deliveries
    • May be permitted if they follow Xavier social distancing and mask guidelines
    • Recommend receiving deliveries outside where possible
  • Community partners (individuals / organizations / course contributors)
    • May be permitted if they follow Xavier social distancing and mask guidelines
    • Use virtual engagement options where possible
    • Discourage hosting of external community groups in on-campus space
  • External employers
    • May be permitted if they follow Xavier social distancing and mask guidelines
    • Use virtual engagement options where possible
  • Family members of employees
    • Employees are discouraged from bringing children or family members to campus
  • Family members of students
    • Students are discouraged from brining family members to campus; where necessary, family may be permitted if they follow Xavier social distancing and mask guidelines
    • Families should minimize their time on campus where possible
    • Use virtual engagement options where possible
  • Participants in campus events, programs
    • Event organizers should attempt to limit in-person programming to student and employee audiences where possible
    • Use of virtual engagement options is encouraged
    • Must follow Xavier social distancing and mask guidelines
  • Alumni / Donors
    • May be permitted if they follow Xavier social distancing and mask guidelines
    • Use virtual engagement options where possible
  • Drop-In / Unaffiliated visitors
    • Drop-In / unaffiliated visitors are discouraged; they may be permitted if they follow Xavier social distancing and mask guidelines
    • Services of interest to external visitors (i.e. banking, food) may have limited hours
    • Guests for self-guided tours should be sent to the Admissions Office

Specific Guest Recommendations / Practices By Area

  • Admissions
    • Continuing to offer campus tours – one family with one tour guide
      • Guests must follow social distancing guidelines
      • Use virtual tour when possible
    • Not currently hosting high school group visits
    • Not currently taking guests into Hoff Dining Hall
    • All events, activities being re-evaluated for social distancing and virtual options
  • Bellarmine Parish
    • Use virtual engagement options and outdoor space where possible
    • Plan to minimize in-person programs and use of indoor space
    • Discourage post-liturgy gatherings in indoor spaces
  • Brueggeman Center
    • Adjusting all programming to virtual
    • Overnight guest reservations on hold
  • Conaton Learning Commons and McDonald Library
    • No daily computer logins will be available for non-current Xavier students, faculty, and staff
    • Visitors / guests for events and activities will be limited
    • Makerspace is not available to non-Xavier users
    • No tabling activities (promotions/sales) by internal or external groups
  • Dining
    • Hoff Dining Hall will only allow meal plan holders to enter – no external guests / visitors
  • Gallagher Student Center
    • Events and meetings booked by external organizations are no longer permitted
    • No tabling  activities (promotions / sales) by internal or external groups
    • Drop-in visitors allowed if they follow Xavier social distancing guidelines
  • Montessori Lab School
    • Students will have more limited movement across campus
  • Recreational Sports
    • Continuation of access for existing non-employee members
    • No new memberships (alumni, affiliates)
    • No longer allowing day passes for external users
    • No longer allowing guest access to the outdoor basketball and volleyball courts
  • Student Organizations
    • Student organizations are not permitted to host external guests / visitors for on-campus activities (i.e. schools, community agencies, etc.)
