The Bursar's Office Staff Welcomes you to Xavier University!!
After a brief introduction, you will find a short checklist below for you to follow. Accomplish these
items and you will be well on your way to a smooth transition into Xavier University. We have also
included some Helpful Tips further below.
The Bursar's Office is located in the Musketeer Mezzanine which is inside Fenwick Place.
Some of the responsibilities carried out by the Bursar's Office include:
• Posting charges and payments to students' bursar accounts
• Publishing accurate monthly electronic bills (eBills)
• Producing refunds for students' accounts that have a credit balance (overpayment)
• Managing the repayment of the Federal Perkins Loan and the Schell Honor Loan
• Collecting on past due student accounts
As a student at Xavier University, you have your own unique student account (or some call it a
bursar account) in which all of your charges and payments are reflected. Your student account
number is the same as your student ID number which consists of 9 digits. This 9 digit number will be
provided to you, if you don't already have it, and is located on the bottom of your student ID card.
The first 3 digits are usually zeros. See the example below. Her student account number and her
student ID number are one in the same, 000123456. This is the same location where you would find
your student ID number.
The Family Education Rights and Privacy Act (FERPA) is a federal law that controls the release of academic, financial, and disciplinary information for college students. » Learn about FERPA
When to do this: As the student, you get to decide if and when you’re going to add someone to an online FERPA Proxy. Once you decide to do this, it’s better to do it sooner rather than later. The Proxy is not mandatory and there is no deadline in which to complete it. However, without your completed Proxy (and/or Authorized Users) on file, no information regarding your student account will be shared with anyone. While you're at it, see #3 below called Authorized Users.
- Payment Plan
Xavier students have the option to enroll in a payment plan or to pay their balance in full. » Learn more on the Payment Plans website.
When to do this: In mid- to late June after charges for the Fall semester have posted to your bursar account. The first payment for Fall is August 1st. For the Spring and Summer semesters, again, when you see that tuition and fees have been charged to your account would be a good time to enroll in the Payment Plan. The first payment for Spring is January 1st and the first payment for Summer is May 1st.
- Authorized Users
Authorized users have the ability to view and pay your bursar bill online. » Learn about Authorized Users
When to do this: As the student, you get to decide if and when you’re going to add someone as an Authorized User.
- Health Insurance: Student Health Insurance Required
All Xavier undergraduate students are required to have health insurance and are automatically enrolled. You must take action to waive the Xavier student health insurance. If you waive it, the reversal (credit) will appear on your bursar account within 24-48 hours. Both the charge and credit, if applicable, will be reflected on the eBill that's published once a month. » Learn more about Student Health Insurance.
When to waive the insurance: As soon as possible once the waiver website becomes available. For the '18-'19 school year, the website will open during the week of June 18th and close on September 21, 2018.
- Outside Scholarships
If you are receiving an outside scholarship then you must make sure the funds are properly directed to your bursar account. » Learn about where to direct outside scholarships.
When to do this: As soon as possible after physically receiving the scholarship check.
Xavier does not produce and mail paper bills. You (and any Authorized User) will receive an email notifying you that your eBill is ready to be viewed. The due date is the first of each month. » Learn more about eBills
When to do this: After you receive the email notifying you that your eBill is ready, view your eBill and make any necessary payment on or before the due date.
It is common for many Xavier students to have a credit balance (overpayment) on their bursar account at the beginning of the semester due to the disbursement of financial aid funds. You have two options for how you receive these funds: electronically transfer the money to the checking or savings account of your choice or open a Vibe Account with BankMobile. » Learn more about refunds

If you have been awarded a Federal Perkins Loan or a Schell Honor Loan:
You must complete the Master Promissory Note (MPN) and Entrance Interview in order for the funds to be disbursed to your student account. The promissory note for each loan is available at http://www.ecsi.net. In order to login at this website and complete the promissory note(s), you will need your Social Security number, Xavier’s School Code 2A, and the PIN number that will be sent to you by email from firstname.lastname@example.org.
If your tuition and/or fees will be paid in part or in full by a third party i.e. SACM, Florida Pre-paid, College Illinois!, please submit your voucher to the Bursar’s Office as soon as possible.
By logging into the ePayment site and clicking on 'Click here to make a payment', you can make your way to see a list of 529 Plans that accept an electronic transfer of funds from the Plan to the student's bursar account. There is a $10.00 transfer fee. If your Plan is not listed or you don't want to pay the fee, please contact your Plan provider sooner rather than later. These payments can take 4 weeks or more to arrive at Xavier. Be sure your student ID number and/or name is identified on the check or check stub. These checks can be mailed to:
