How to request an official academic transcript

Requests for transcripts are protected by federal law, and can only be released with the written request of the student.

Failure to sign the request, remit payment, or give accurate information can result in the transcript request not being processed and returned to the student. So please read the following carefully.

After receipt of a written transcript request, normal processing takes 3 to 5 business days and costs five dollars for the initial copy and one dollar for each additional copy ordered at the same time. During certain times of the year, such as at the beginning and end of each term and during priority registration, normal requests can take 5-7 business days. Processing times can change and are not guaranteed. Please check with us if your request has a time sensitive nature. Urgent or Immediate requests are processed within one business day and cost ten dollars for the initial copy and one dollar for each additional copy ordered at the same time. Please remit cash, check, or money order made payable to Xavier University. We also accept Visa, MasterCard and Discover credit cards; the credit card number, the name on the card, and the expiration date are required with this option. Please include this information on your transcript request or fax cover sheet. Payment must be made in advance. There is no charge for transcripts that go to other Xavier University departments or for unofficial transcripts. Please note that these requests will take 3-5 business days to process.

Requests must be signed and include your full name, any previous names, social security number, or student ID, and current address and phone number. We also need your dates of attendance, course of study, and any degrees received. Be sure to include the number of copies you need, and the full address of  where they are to be sent. The transcript department is not responsible for incomplete or inaccurate addresses. Please note that we are unable to fax official copies of transcripts. Please be specific about any special processing instructions; for example, "hold until my degree (or grades) is (are) posted", "include the attached form with the transcript", or "immediate processing". 

If you would like your transcript(s) sent by Express Shipping, Xavier University will send your transcript(s) via Express Mail through the United States Postal Service and will charge the associated USPS rate.

As a reminder, all financial obligations to the University must be met before your request can be processed. If you have an outstanding balance, or if your University account is otherwise delinquent, please call the Collections Office at (513) 745-4841.

As stated earlier, all requests must be signed by the student, as academic records are protected by the Family Educational Rights and Privacy Act (FERPA).
