Tips for Searching for On-Campus Employment

Program Summary

Xavier's employment program allows students who have been awarded federal work study or institutional employment to develop both basic and advanced skills that will help in attaining career goals.  There are many part-time jobs available on and off campus that vary in skill level and opportunity for skill development.  The pay scale is designed to reward continuous satisfactory employment within the same department and recognize the variety of skills required.  Students earn from Ohio’s minimum wage of $7.00 - $10.00 per hour, depending on the position.  

A student’s primary goal is the pursuit of an education. Although employment should not interfere with educational success, student employment should be considered an extension of the educational experience. Students typically work between 6 and 10 hours per week. Students are not permitted to work more than 20 hours per week during the academic year.
 
You are responsible for securing an on-campus position if you would like to take advantage of your work study award. You must take the initiative to find a position through the On-Campus Employment Program – you are not automatically placed in a position. 
 
Students awarded federal work study can consider employment at local service-oriented organizations through the Community Service Jobs Program.  Job sites are chosen to allow for a wide range of opportunities within city limits.  These opportunities help students develop a sense of social responsibility and touch the lives of community residents in meaningful and lasting ways. All participating students receive on-site supervision and are expected to attend 3 group reflection sessions during the academic year.
 
The amount that is listed on your Financial Aid statement is the maximum amount that you can be paid while working in a student employment position. You are not guaranteed to earn exactly the amount which appears on your Financial Aid statement.

 

How do I find an on-campus position?

  • Attend the Employment Fair, held the Monday before classes August 25th 2-4pm in the Cintas Center. This is your best opportunity to find an on-campus position.
Quick Tips for the Employment Fair:
§         Preview open positions on the Career Services Center’s website www.xavier.edu/career
§         Arrive early
§         Bring your class schedule to share your availability with supervisors
§         Meet with many supervisors
§         Dress nicely – business casual dress is appropriate (khaki pants and nice polo shirt)
  • If you don’t find a position all remaining open positions will be posted online. Just the Xavier’s Career Services Center online job board at www.erecruiting.com for instructions on how to search and apply for additional jobs you may call our office at 745-3141. 

What are my responsibilities?

Specific job responsibilities vary according to department and job. There are some general responsibilities shared by all student employees. Remember that your student employment job can be great training for your future career and a resume builder!
§         Pay close attention during training. Ask questions. Learn from watching experienced coworkers.
§         Ask what can be done during downtime to stay busy! Don’t assume that doing homework is acceptable.  
§         Do your best. Have a positive attitude.
§         Act professionally. Take responsibility for what you do. Be accountable for your actions and your work.  
§         Be dependable. Show up to work on time. Schedule time off well in advance. Call your supervisor if you are going to be late or absent from work.
§         Dress appropriately. Ask your supervisor what kinds of clothes are appropriate for work.
§         Show initiative – share ideas for improving job tasks with your supervisor.

 

Let your supervisor know if you’re having difficulties, need to change your hours, etc.

 

How do I get paid?

Paperwork must be completed before you can begin working! The first opportunity to complete all required university, state and federal forms is in the summer during PREP. If you are unable to attend PREP, or if additional forms need to be completed after PREP -- attend the Paperwork Make-up Sessions held in the Career Services Center (3rd Floor Gallagher Student Center, Room 310) on:                         

August 26th from 12:00 - 2:00 p.m.
August 27th from 3:00 - 5:00 p.m.
August 28th from 12:00 - 2:00 p.m.     
                        
  • Timesheets
o        Timesheets should be completed on a daily basis and turned in to the payroll office every two weeks. Complete timesheets according to the student payroll schedule. This can be found on the payroll office website.
o        You are responsible for completing timesheets, having your supervisor sign and approve your timesheets and turning them in to the payroll office according to the student payroll schedule. 
o        Blank timesheets are available in the payroll office (102 Schmidt Hall). 
o        Paychecks will be issued every two weeks according to the payroll schedule.
 
  • Payment Options
o        Direct deposit is available and can be set up by completing a direct deposit form. Your check will be automatically placed in the account specified on your form. You will also receive email notification of your pay every two weeks. All emails are sent to your Xavier email account. Please note: Direct deposit will take 2-3 payrolls to become active, so you will need to pick up your first few checks even after completing the direct deposit form. Direct Deposit forms are available online through the payroll office website.
o        If you do not elect to use direct deposit, you must pick up your check in the payroll office (102 Schmidt Hall) between 10:00 a.m. and 1:00 p.m., Monday – Friday.
o        You may choose to have your earnings applied directly to your Bursar account. This requires the completion of an additional form, to be submitted to payroll. Bursar account credit forms are available in the payroll office. These forms are not available online.
  • It is recommended that students verify correct tax information, pay rates and hours worked on all paystubs. Federal W-2s are mailed at the end of January to the address printed on your student paycheck. If you believe that something is incorrect, please contact the Career Services Center.

What should I do if I have problems with my supervisor or my on-campus job?
