Querying on FGITRND

On the main menu GUAGMNU, in the Direct Access Line (Go line) type in FGITRND and press enter.

The Chart X will default. This cannot be changed.

The current fiscal year will default. This can be changed to the year you need to research transactions in.

Type the Fund or Org for which you need to research transactions in their respective fields . If the program field has a program code in it, delete the program code. Make sure you leave Program, Account, Activity and Location blank. Also remove any codes in the "Q" field.

The Prd field is the "period field." You do not have to use the period field; however it is the easiest and simplest way to isolate all transactions for a particular month. (Salary & benefit transactions included)

Below is the list of valid period options and what they mean.

Period

01 = June
02 = July
03 = August
04 = September
05 = October
06 = November
07 = December
08 = January
09 = February
10 = March
11 = April
12 = May
13 & 14= Year end transactions posted in June and July

Review the data you have typed in for the FY and the FOAP.

Click on the Next Block icon.

Click on the icon with the question mark (sixth button from the left). This is the enter query command.

Characters you can use to describe your selection criteria:

% = wild card will yield everything in the field or in the spaces of the field that are designated as open to everything.
701% in the account field will return all accounts that have 701 as the first three digits.
70% in the account field will return all accounts that have 70 as the first two digits.
7% in the account field will return all accounts that have 7 as the first digit.

This is good way to leave off the salary and benefit transactions that you may not want to review.

You can use these characters on account and date selection.

The date format must be DDMONYEAR, e.g., 05MAY2005.

DO NOT mix the use of the period field and using selection criteria in the date field.

When querying, think through the data you want in terms of how it is stored in the system.

Range of accounts or specific account

You cannot select on the description field.

Leaving the fields blank will result in everything in that field being shown.

Once you have input your selection criteria. Click on the execute query icon (next to the enter query icon).

Data should get populated. If it doesn't then read the information bar at the bottom of the form to see what the issue is.

Click on the cancel query icon (next to the execute query icon) to begin another query. Use the roll back icon to change the fund/org after you have cancelled the query.
